Jobs and Quotes Automation is here, one of our most requested updates from the community. Building on the Job Templates, Checklists and Automations release from June, this release takes it a step further.
Jobs and Quotes Automation lets you build custom workflows that automatically trigger actions as jobs and quotes progress, helping you keep follow-ups moving, speed up approvals and reduce the manual work involved in managing every job.
Create customisable workflows that trigger actions when a job reaches a particular status or meets your chosen conditions.
You can automatically:
Quotes now have their own message template category, complete with quote-specific merge fields. You can use these to send messages to multiple suppliers at once, including to let them know if their quote was successful.
You can trigger quote messages from the Quotes table or add them to your Jobs Automation workflows, so follow-ups can happen automatically.
A new Quote Status column on the Jobs list shows you where each quote is at.
Under the Quoted tab, you can see a quick breakdown such as 1 Approved, 2 Rejected, without opening the job and checking each quote individually.
This makes it easier to spot what needs your attention and keep jobs moving.
You can now generate and attach two new PDFs to your messages, making it easier to give owners the information they need to make decisions.
Job Summary brings together the high-level details of a job, including photos, in one clean document. You no longer need to download and re-upload photos or copy and paste job information.
Quote Comparison puts every quote received for a job side by side, giving owners a simple way to compare their options and decide how they want to proceed.
These PDFs can be used with message templates and Automations, so the right information can be sent at the right stage of your workflow.
Two new system message templates are available to help you keep owners and suppliers informed:
We’ve also updated the existing Request owner approval to proceed with work template to include the Job Summary PDF, giving owners the key information they need to review the request.
Existing automated Job messages have now been migrated into Automations, bringing your automatic Job actions together in one place.
There is nothing you need to do. Your existing Job message workflows will continue working as they do today.
But if you want to get more from Automations, you can now build on your existing workflows with additional actions, such as updating priorities, changing due dates and triggering follow-ups.
We’ve also updated the Automation builder used for Tasks and Renewals, so you can now set up multiple events within a single rule. This gives you more flexibility to organise and build the workflows that suit the way you work.
We put Jobs and Quotes Automation to the test. Delainey and Peter raced to complete the same job from start to finish, with Delainey using Automations and Peter managing everything manually.
