Spring clean your portfolio with our tailored 10-week challenge! 

Feeling the mid-year slump? You’re not alone. As winter winds down and spring approaches, it’s the perfect time to reset your workspace and that includes your PropertyMe Dashboard and Activity Panel. 

A little digital decluttering can go a long way. It helps you spot what’s slipping through the cracks, keeps your team aligned and gives you more time to focus on the tasks that matter most. 

Here’s how to freshen things up! 

Week 1: Clear out your Activity Panel 

Close off completed Tasks and update due dates. 

Think of your Activity Panel as mission control… and right now, it could probably use a refresh.  

Start by closing off any completed Tasks and updating due dates that have crept past. This gives you a more accurate view of your current workload and helps you prioritise what’s next. 

Week 2: Review active properties under subscription 

This is your reminder to double-check you have the correct number of properties selected for your portfolio.  

PropertyMe scales with you, so it’s easy to increase or decrease the number of properties that makes sense for your portfolio. The subscriber of the portfolio can review and edit the number of properties here

Week 3: Close off completed Inspections 

Do you have Inspections that are done but not closed off? Jump in and mark them as complete. 

This not only tidies up your dashboard but ensures your reports and records are up to date, saving future-you from unnecessary admin headaches. Remember to share the reports with owners and tenants to view through their client access and apps. 

Week 4: Close off completed Jobs 

Review your list of Jobs and close off any that have been completed.  

For the ones still waiting on trades or suppliers, use PropertyMe’s bulk email feature to chase updates quickly. It’s a fast, easy way to keep things moving without endless follow-ups. Update due dates to trigger follow-up calls. 

Week 5: Update Bond increases 

Bond amounts don’t stay the same forever. With rent increases, many agencies forget to update the corresponding bond amounts. Now’s the time to cross-check and ensure all bonds are current.  

By updating bond increases in PropertyMe, you’ll not only stay compliant but also save yourself from the headache of chasing discrepancies later.

Week 6: Review and update email message Templates

When was the last time you refreshed your email templates? Chances are, they’ve been running on autopilot for months. 

Take a moment to review your standard communications, from inspection notices to rent reminders. Update the tone, branding and details to reflect your current processes. Clear, professional and consistent messaging keeps your brand strong and ensures clients receive the right info at the right time. 

Week 7: Review and update sms message Templates 

Short and sharp, SMS messages can make or break your communication with tenants and owners. Go through your PropertyMe SMS templates and check for outdated details, overly long messages or missing links. 

Keep in mind: SMS is best for urgent or time-sensitive messages. A polished template helps you get the right response, fast, without the back-and-forth. 

Week 8: Bulk archive suppliers 

Your supplier list can get cluttered with trades and contacts you no longer use. This spring, tidy up your supplier database by archiving inactive or outdated contacts. 

A lean supplier list makes it easier to find the right person when you need them most. Plus, archiving helps keep your reports clean and your workflows more efficient. 

Week 9: Let Automations do the heavy lifting
