Due to their tireless work behind the scenes, it’s not every day that you get to see their smiling faces. So we thought we’d do something about that, by sitting down with each of our Product Managers and asking them some of your most frequently asked questions.

While we’re so proud of the team’s efforts to create in-depth release notes, Knowledge Base articles and training videos, it’s only natural that our community may still have questions about our features. So we’re excited to give you our insider answers, direct from the people who created them!

Many of you may be familiar with Delainey who has popped in on a few episodes of The Loop and our 1-minute mastery series to lend her expertise… let us not forget that she’s also one of the stars of our PropertyMe TikTok! Delainey joined PropertyMe as a Business Analyst before moving into the Product Manager role earlier this year. She loves that this new position lets her engage more deeply with customers, learning about their challenges, aspirations and needs so she can craft solutions to solve real problems.

What’s the best way to manage Lease Renewals in PropertyMe?

“The best way to track renewals is through our Lease Renewals feature which launched earlier this year, available to Standard and Premium subscriptions. This allows you to manage the process from start to finish, all within PropertyMe.

“To get started, go to Properties and click the Renewals tile at the top. You can also bulk create Lease Renewals from the ‘Expiring’ tab – just select some Properties from the list and click Actions > Create Lease Renewals.”

How do I track the progress of the renewal?

“Once you’ve created your Lease Renewal, it’s super easy to keep track of progress as you have discussions with the Owner and Tenant. 

“The provided system message templates help facilitate easy communication — just select the required template, check everything is correct and send. You can also create your own message templates or send ad hoc emails and SMS for more specific situations. All without leaving the renewal page!

“Clicking the progress icons will cycle through the available states for each step — Yes, No or Unknown. This allows you to track the intent to renew, whether both parties have agreed to the terms, and whether the lease has been signed. 

“You can also update the status based on who the renewal is sitting with, so in conjunction with the Progress indicators you can tell at-a-glance exactly where the renewal is up to. 

“Creating a Task from within the renewal will allow you to see any relevant checklist items specific to the renewal process, and then as the renewal progresses you can capture all the details and additional notes (such as approved occupants and pets) in the Proposed Lease Renewal section.”

Can multiple users collaborate at the same time?

“Absolutely! It’s easy to add comments to keep track of ongoing progress, and you can tag team members in these comments to notify them of a specific message. 

“You can also assign the Lease Renewal to another person when it’s time to hand it over to the next team member, or if somebody else is covering the work temporarily. This will send them a notification as well.”

Does this work with other integrations?

“Yep — if you’re an REI Forms Live or Realworks user, fill out the Proposed Lease Renewal section to have all of those details pre-populated in the tenancy agreement form.”

How do I update tenancy dates once the lease is signed?

“The all-new Tenancy Agreements feature that launched in November has made it faster and easier than ever to update tenancy dates in PropertyMe. 

“There’s a couple of ways you can do this — from the renewal page itself when you click ‘Complete’ you will be prompted to select whether it was Renewed or Not Renewed. If you choose Renewed, the agreement dates will prefill from the Proposed Lease Agreement section and you have the option to update the tenancy directly.

“Otherwise, you can go to the Tenant card on the Property and click the + icon next to ‘Agreements’. This will also prefill from the Proposed Lease Agreement section, and you will have the option to close the Lease Renewal or leave it open if needed.”

Deep dive into Paperless Entry Inspections

Being one of the hosts of The Loop and one of the longest-standing team members, Peter is familiar with answering all of your questions. He has seen success in various roles at PropertyMe over the last eight years. With a positive and can-do attitude, he is constantly engaging with our users and thinking of ways to improve the life of a Property Manager. Peter and his team released Paperless Entry Inspections earlier in the year and have seen more than 60,000 inspection reports go through the digital journey so far.

How does our office get started with Paperless Entry Inspections and is it difficult to transition across?

“Any portfolio that is currently on our Standard or Premium plan can start sharing Entry Inspections with tenants for them to complete digitally today (you can even pick and choose which tenants to try it out).

“Agents continue conducting Entry Inspections using the Agent mobile app and once the report is ready for your tenant to conduct, simply apply your signature and assign the report.

“All your tenants need to do is create a PropertyMe Client Access account and download the PropertyMe Consumer mobile app. After they sign in they will be able to complete, sign and return the Entry Inspection along with any photos all from the palm of their hands… It’s that easy!
