How To Use Labels in PropertyMe

What’s the name of that plumber with the short hair? I think his name starts with an A? Just give me 20 minutes to look through my contacts...

To avoid the above scenario, you can take advantage of the labels feature in PropertyMe to categorise, tag and group your data. This way you can easily go into your Contacts in PropertyMe and filter by the label ‘plumber’ to find the one you’re looking for. With this feature, you can:

  • Add labels to properties, contacts, jobs, inspections and tasks
  • Add labels when you are in an individual file
  • Add labels to multiple files in one go from the Actions button in the list view
  • Filter any of your lists by one or more labels

Labels are centrally controlled in Settings, where you can add and remove labels from your portfolio. Additionally, team members can create one-off labels against a file, but these will not show in the pick list or filters.

Without further ado, here’s how to create, attach and filter by labels in PropertyMe:

To create a label:

  1. Open PropertyMe
  2. Click on your user name on the top right hand side
  3. From the drop-down menu, click on Settings
  4. In Settings, click on the Labels tab
  5. Click on the blue New Label button
  6. Enter the name, type and priority of your label then hit Save
  7. Your new label will appear in the list view and you can remove it at any time

Attaching a label to a contact

To attach a label to a specific contact:

  1. Open PropertyMe
  2. Click on Contacts in the left navigation panel
  3. Find the specific contact and open their file
  4. Click on the pen icon next to Labels and select the label you would like to attach
  5. This will automatically save

Pro tip: You can select multiple contacts at once and click Actions and Modify labels to attach labels in bulk.  

Filtering Contacts by label

To filter Contacts by label:

  1. Open PropertyMe
  2. Click on Contacts in the left navigation panel
  3. Click on the funnel icon next to the search bar on the right hand side
  4. Select the label(s) you want to filter Contacts by and hit Filter

You’ll know that it’s a filtered view when the funnel icon is green rather than grey. To reset filtered Contacts view:

  1. Click on the green funnel icon next to the search bar and click Reset

To filter Reports by label:

  1. Open PropertyMe
  2. Click on Reports in the left navigation panel
  3. Open the Contacts Report you want to view
  4. You will see a Labels filter bar at the top of the report. Click on the drop-down menu and select the label(s) you would like to use to filter the report
  5. Hit the Filter button to complete action

To reset filtered Reports view:

  1. Click on the drop-down menu and deselect the label(s)
  2. Hit the Filter button to complete action

Note: Similarly, you can filter Property Reports by Property labels.
